2005 Sprints - Online Entries Help

There has been some confusion for new clubs and reps, who are unsure how the online system works and the procedure for entering Sprint Nationals. This document gives an overview of that process.


1. Enter Online
Each club needs to nominate a representative to do their online entries, the following information is required. Email full name, email address and club name to [email protected]

Once your nomiation has been received, you will receive a password and an email with futher instructions on how to log into the system.


2. Club Manager
Once you have logged into the system, your first stop should be the Club Manager page.
The long term goal of the Club Manager is too have an uptodate list of paddlers that you can enter into any regatta, not just the Sprint Nationals

The Club Manager should contain a list of your clubs current members. A paddler can be a member of several clubs at the same time, but may only race for one club at a regatta.

- Remove Past Members
Remove any members that no longer paddle for your club

- Add new paddlers to your club
If the paddler already has an NKOA ID Card, click on the 'Add Existing Paddler to Club' link and search for them in the ID Card database.
If the paddler is new, click the 'Create New ID Card' link and apply for a new ID Cards for them.

If you find duplicate cards, eg two cards for the same member please let me know so I can remove them from the database.

Note: When the paddler database was transferred from Sport Northland, a number of paddler photos were missing. If an ID Card shows No Photo next to it, a new photo will have to be uploaded or emailed in. There is no charge for this.


3. NKOA ID Cards
Each paddler that competes at sprint nationals requires an ID Card
You can Create a new ID card using the Club Manager system (see section 2).

Once you have entered all the paddlers details, you need to supply a photo
a.) upload a photo (we will crop it for you)
b.) email a photo to [email protected] (put the paddlers name in the subject of the email and only attach one photo per email)
c.) send a photo in and we will scan it. (write the paddlers name on the back of the photo)

Once you have finished create new ID Cards you need to click on the 'Submit ID Cards' link
Print out this page, it shows a list of all new and replacement ID Cards, the total amount due and what documentation is required.

If a paddler requires verification you can choose one of the following options
1. photocopy the front page of their passport
2. photocopy their drivers licence (needs to be signed by JP or regional rep)
3. photocopy their birth certificate (needs to be signed by JP or regional rep)

If a paddler requires a photo, you must include a recent photo (see info about supplying a photo above)

ID Cards will be sent back to you once they are printed, please allow 21 days for delivery.


4. Regatta Entries
As a club rep, you can enter W6 and WT12 Teams only. The teams can consist of any paddlers that are on your club roster. You do not need to supply team lists. The team that races in the first heat for that event will be recorded by the checkin system, the same team must get back in the canoe for every subsequent race.

W1 Entries
W1 entries are done through your regional rep
The regional rep will collect all the W1 money which is $10 per person (this is in addition to W6/WT12 fees) and send in one cheque for the region.

Regional Teams
If a club does not have enough paddlers to make up a WT12 then you may form a regional crews for the following divisions; Midget and Snr Masters.

Each club will need to make sure the paddlers are on the regatta roster in the appropriate divisions Your regional rep will need to enter the team name into WT12 event.


5. Paddler Roster
The paddler roster indicates which divisions each paddler is racing in. This is used to calculate their entry fees. The paddler roster will only show paddlers that are listed on the Club Manager page.

Once you have completed the paddler roster, send one club cheque to pay for fees

After the closing date if you remove a paddler from the roster you will get a credit. If you add a paddler to the roster it will use up that credit, paddlers added to the roster after close off will attact a penalty fee. Entry fees are non-refundable.

Note: If you have applied for ID Cards using the paper forms, they are being processed. You will need to wait until the ID Card appears in the database and add the paddler to your roster then. There will be no penalty charge for late registrations if the ID Card was delayed.


6. Cutoff Dates and Deadlines

30 Nov - Entries Close
- Entry Fees are due

- Change team name (FREE)
- Withdraw team (FREE)
- No new teams accepted
- Add paddler to roster (STANDARD FEES)
- Remove paddler from roster (CREDIT FEES)
- Lane draw will be published

12 Dec - Changes Close
- Change team name (FREE)
- Team withdraw (PENALTY $100 to club)
- Remove paddler from roster (CREDIT FEES)
- Late additions to paddler roster (FEES + PENALTY $20 per paddler)
- Add teams only if there are spare lanes in the lane draw, first in first serve (email entries only to [email protected], include club name, team name and event)

15 Jan - Roster Closes
- Scratch Team or 'No Show' (PENALTY $100 to club)
- Remove paddler from roster (NO CREDIT)
- Late additions to paddler roster (FEES + PENALTY $40 per paddler)
